Privacy Policy

Proper Feedback is built around a single premise: feedback you can actually trust. That means we take caller privacy seriously — not as a legal checkbox, but as the reason the product works at all.

The short version: Caller phone numbers are one-way hashed — we cannot reverse them or reveal caller identities, and neither can you. Voice recordings are masked before storage. The original recording is discarded. We do not sell personal data.

We do not collect: caller names, raw phone numbers, IP addresses of callers, or any information that could identify a caller. The hash is computed with a secret key stored in a separate system — it cannot be reversed by us, by your administrator, or by anyone with database access.

3. How we use it

We do not use caller message content to train AI models. We do not sell any data to third parties.

4. Voice masking and recording

When a caller records a message, voice transformation is applied in real time. The masked audio is what we store and deliver. The original, unmasked audio is discarded and is not written to disk in its original form.

Transcription is performed by a third-party provider under a data processing agreement that prohibits use of the data for model training.

7. Your rights

Depending on your location, you may have rights to access, correct, port, or delete your personal data. To exercise any of these rights, email hello@properfeedback.com. We respond within 30 days.

Because caller identity data does not exist in our system, we cannot fulfill access or deletion requests for caller personal data — there is nothing to retrieve or delete beyond what is described above.

8. Cookies and tracking

Our marketing website uses minimal cookies for session management and aggregate analytics. We do not use cross-site tracking cookies or ad-targeting pixels. The product dashboard uses session cookies required for login.

9. Children

The Proper Feedback service is not directed to children under 13. If you believe a child has submitted a message through the service, contact us and we will delete the associated transcript and audio.

10. Changes to this policy

We will post changes to this page and update the "Last updated" date. For material changes, we will notify account holders by email at least 14 days in advance.
